Room Parent Role & Responsibilities

Thank you for your interest in being a Room Parent at Overland Trail Elementary! Room Parents help build classroom community, support teachers, and help coordinate classroom celebration logistics. This page outlines what the role looks like at OTE and what you can expect throughout the year.


At a Glance

  • Room Parents do not collect money. Classroom celebration donations are collected online by grade level.
  • The PTO provides the celebration plan. Snacks and activities are pre-planned and supplied for consistency.
  • Each class may have up to two Room Parents. Timing and details are shared each year when sign-ups open.
  • You are not expected to do this alone. The PTO provides templates, timelines, and support.

Core responsibilities
  • Support classroom celebrations using PTO-provided materials and instructions.
  • Coordinate volunteers for celebrations using provided sign-up templates.
  • Communicate with classroom families about PTO/school updates and volunteer opportunities.
  • Coordinate teacher birthday gift sign-up (families purchase gifts individually; no money collected).
  • Serve as a liaison between the PTO and classroom families and keep your teacher informed.

Good to know: Room Parents do not plan parties from scratch or purchase supplies—PTO handles the planning and provides what you need.

Classroom celebrations

Room Parents support three grade-level celebrations each year: Halloween, Winter, and Valentine’s Day. The PTO purchases and provides the planned snacks/materials in bulk and distributes them to classrooms.

Your role for each celebration

  • Coordinate with your co-Room Parent (if applicable), your grade-level Room Parent team, and the PTO.
  • Help distribute PTO-provided snacks and activity materials to your classroom.
  • Facilitate the celebration in the classroom with approved volunteers.
  • Recruit and communicate with classroom volunteers using provided templates (shared closer to each party).
  • Ensure all district and school guidelines for classroom visitors are followed.
Teacher birthday gifts

Room Parents help coordinate teacher birthday gifts by sharing a sign-up form based on the teacher’s Staff Favorites. Gifts are purchased and delivered individually by families.

  • Share the birthday gift sign-up form with classroom families.
  • Families who sign up purchase and deliver gifts individually.
  • No money is collected by Room Parents or the PTO.

Reminder: Funds collected for classroom celebrations are not used for birthday or holiday gifts.

Communication expectations
  • Serve as the liaison between the PTO and classroom families.
  • Promote PTO and school events as requested.
  • Keep your teacher informed about celebration plans, volunteer coordination, and key timelines.
General expectations
  • Collaborate positively with your co-Room Parent (if applicable), teacher, and grade-level Room Parents.
  • Attend the Room Parent Kickoff Meeting (details shared each year; recordings are typically available).
  • Follow OTE and Blue Valley guidelines related to classroom access, safety, and volunteer conduct.
  • Be responsive to PTO emails and deadlines related to Room Parent duties.
What Room Parents do NOT do
  • Do not collect, hold, or manage classroom celebration funds.
  • Do not coordinate group holiday gifts or collect money for holiday gifts.
  • Do not create party plans from scratch—PTO provides the plan, supplies, and guidance.
  • Do not have to do everything alone—this is a shared role supported by your grade-level team and PTO.
